Brief Call: Our process typically begins with a brief virtual/phone conversation to get to know you! The objective? Learn about you, understand your motivations, and make sure we have the right job for you! 

Interviews (the average number of interviews is 3 - the number may vary depending on the level of seniority required for the position). During the interviews, you will meet people from our team: your line manager of course, but also other people related to your future role. We will talk in depth about you, your experience, and skills, but also about the position and what will be expected of you. Case study: Depending on the position, we may ask you to take a test. This could be a role play, a technical assessment, a problem-solving scenario, etc.

Job description

We are seeking a detail-oriented and proactive Project Operations Specialist with at least 1-2 years of experience, to work on-site in Markham, Ontario, supporting the successful execution of R&D projects. This role involves maintaining accurate project data, coordinating purchases and shipping logistics, and ensuring timely delivery of updates and prototypes in a fast-paced, collaborative environment.

Key Responsibilities:

  • Keep project data organized and up to date (Excel trackers, Jira boards, sprint documentation).
  • Monitor project timelines, technical risks, dependencies, and team performance metrics.
  • Run status reports, ensure data consistency, and flag irregularities or issues.
  • Follow up on action items from Design Reviews, Technical Reviews, and team syncs.
  • Create and manage purchase requisitions and maintain complete procurement documentation (quotes, approvals, POs, deliveries, invoices).
  • Track delivery timelines and coordinate with suppliers and sourcing departments.
  • Prepare documents for domestic and international shipments.
  • Collaborate with logistics teams to determine optimal shipping methods.
  • Oversee the delivery and tracking of prototypes across R&D sites.
  • Monitor shipments and resolve customs issues when needed.
  • Maintain detailed records of prototype distribution and usage.

Profile Requirements

  • Bachelor’s degree in Business, Project Management, or Engineering
  • Agile certification is a plus
  • 1–2 years of experience in a project coordination or project support role
  • Familiarity with project management tools (Jira, Jira Align, Microsoft Project, Confluence)
  • Experience with ERP systems (SAP, Oracle, Oscar or similar)
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
  • Excellent organizational, multitasking, and communication skills
  • Basic understanding of Agile, Scrum, SAFe, or Waterfall project methodologies
